How to migrate from a dhadda register to a digital driving school in 30 days

A week-by-week migration plan we have run in 50+ Nepali centers.

How to migrate from a dhadda register to a digital driving school in 30 days

Eight years of paper. Three notebooks per instructor. A bag of receipts under the cashier’s desk. Every owner who has run a driving center in Nepal for more than five years has some version of this. "We want to go digital, but how do we even start?"

This is the 30-day migration plan we have run with more than fifty Nepali driving centers — large and small. No school lost a single class during the switch. Several made more money in week three than in any previous month.

Day 0 — Decide the team

You need three people, even part-time:

  • Owner / decision-maker. Says yes to changes. Reviews dashboards.
  • Office champion. Usually the cashier or office manager. Does daily data entry during the transition.
  • Lead instructor. Communicates with students.

If one person plays all three roles, that is fine, but it doubles the calendar time.

Week 1 — Stop the bleeding

Goal: all new data from day one of week one is digital. We do not touch history yet.

  1. Create the school in Driving Sathi.
  2. Add the current monthly fee structure as Service packages.
  3. Enroll the next 5–10 new students directly in the system. Use the public lead form to test.
  4. Issue invoices and receipts from Driving Sathi for those students.

End of week one, the office champion should be issuing 100% of new receipts from the system. Old students are still on paper for now.

Week 2 — Bring the active roster in

Goal: every student currently taking classes exists in the system.

Take the active student register and import it. We give you an Excel template. The office champion spends two evenings filling it, you upload it, the system creates the records.

Most schools find that the active list is 30–40% smaller than they thought. That alone is worth the effort — you stop chasing students who left months ago.

Week 3 — Turn on attendance and reports

Plug in the ZKTeco device (see our setup guide) and enroll fingerprints in a single Saturday session.

Switch on the daily owner email. Every morning at 7 AM the owner receives: yesterday’s revenue, attendance count, open invoices and any overdue fees. Twelve minutes saved per day.

Week 4 — Migrate finance and shut the old system

Enter opening balances for the year (total receivable, advances, instructor dues). The system calculates monthly statements automatically from this point forward.

On day 30, the paper register stays in the cupboard, never opened again. The office champion stops writing receipts by hand. The school is digital.

What changes (real numbers)

  • Receipts issued per day: paper 30 → digital 30 (no change in capacity, but every receipt is searchable forever).
  • Time per receipt: 2 minutes → 25 seconds.
  • Time spent on monthly reports: 6 hours → 8 minutes.
  • Fees collected on time: 64% → 89% (after WhatsApp reminders kick in).

If you are ready to start your own 30-day migration, our team will pre-fill the first week for you. Book a setup call.
